2. Information We Collect

  • Account data: name, email address, phone number, and business details you provide when signing up or updating your profile.
  • Shipment data: consignee name, delivery address, pincode, weight, and package dimensions entered when booking a shipment.
  • COD & settlement data: the COD amounts collected on your shipments and the resulting settlement and payout records. We do not store card details, and any payout/bank details you provide are used solely to remit your settlements.
  • Usage data: IP address, browser type, pages visited, and timestamps — collected automatically via server logs.

3. How We Use Your Information

  • To create and manage your account and client profile.
  • To book shipments, generate waybills, and coordinate pickup with our courier partners.
  • To reconcile COD collections and generate settlement statements and payouts.
  • To send essential transactional and account communications.
  • To comply with legal obligations including GST, customs, and courier regulations.
  • To improve platform performance and fix bugs using aggregated analytics.

4. Data Sharing

We share only the data necessary to deliver your shipments. This includes:

  • Delhivery: consignee name, address, phone, weight, and dimensions are transmitted to Delhivery to create a shipment manifest, generate a label, and collect and remit COD.
  • Infrastructure providers: our hosting and database providers (e.g. Vercel and Neon) process data on our behalf to run the platform, under their respective data-processing terms.

We do not sell or rent your personal data to any third party.

5. Data Retention

Account and shipment records are retained for 7 years to comply with Indian GST and accounting regulations. You may request deletion of non-statutory data by contacting us at hello@vahanz.com.

6. Security

All data is transmitted over TLS (HTTPS). Database credentials are stored as encrypted environment variables and never exposed in source code. Settlement and COD operations use database transactions to keep records consistent. We review security practices regularly and will notify you promptly of any breach that affects your data.

7. Your Rights

You have the right to access, correct, or request deletion of your personal data. To exercise any of these rights, email us at hello@vahanz.com. We will respond within 30 days.

8. Cookies

We use a single session cookie set by our authentication layer (better-auth) to keep you logged in. We do not use tracking or advertising cookies.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by email. Continued use of the platform after changes constitutes acceptance of the updated policy.
